Keeping Content Up-to-Date with Stream

Learn more about AVAIL Stream, a feature designed to automatically synchronize content between your file system and Avail channels.

Important Note: AVAIL Stream is an Enterprise service that monitors selected folders for changes and publishes these changes in AVAIL automatically, based on guidelines you provide.

Stream automates the process of making content readily available to your users.

Video Outline:

The Problem with Traditional Content Management Systems

Many content management systems (CMS) fail over time because their content becomes:

  • Outdated — files are not refreshed regularly.

  • Unsearchable — content is hard to locate or not included in the system.

Contributing factors include:

  • High volume of files to manage.

  • Human error, such as forgetting to upload or update files.

  • Competing priorities and distractions in daily workflows.

As this happens, user trust erodes, and the CMS gradually falls out of use.

How Avail Stream Solves the Problem

Avail Stream automatically mirrors changes in your file system within Avail. When files are added, modified, or deleted, Stream instantly reflects those updates inside Avail channels—no manual maintenance required.

  • Examples:

    • Add a file → Stream tags and indexes it automatically.

    • Rename or update a file → It’s instantly updated in Avail.

    • Delete a file from your network → It’s removed automatically from Avail.

Stream Definitions and Rules

Stream includes configurable Stream Definitions, which let you control: What content gets indexed and where it appears in Avail.

Example rule setup:

  • Index content from a “Revit 2020 Projects” folder.

  • Include subfolders.

  • Only index files with extensions .rfa or .rvt.

Any content that meets the defined criteria is automatically added to the corresponding Avail channel. Files that don’t match the definition are excluded, ensuring content remains organized and relevant.

Benefits of Using Avail Stream

  • Automation reduces manual effort and human error.

  • Keeps the CMS synchronized with your live file system at all times.

  • Saves time by eliminating repetitive content management tasks.

  • Ensures users always have access to the most current, trustworthy content.

  • Scalable and customizable, fitting a wide range of workflow needs.

A Basic Example

Stream could be monitoring a folder called “Revit Families.” A rule (called a Stream Definition) could be set to automatically index RFAs into a designated Channel in AVAIL. If an RFA and a JPG are added to this folder, Stream would add the RFA to the Channel in AVAIL, but exclude the JPG.

If the RFA is removed or changed in the file system, it will automatically be removed or updated in the AVAIL Channel.

Stream

More explicitly, Stream is a rules-based content routing/event management system with the ability to monitor and route dynamically changing content on a File System into AVAIL. It is installed as a service directly on your network.

Please Advise: Stream does not modify content on the file system.

Key Takeaways:

  • CMS failure often stems from outdated or hard-to-find content.

  • Avail Stream automatically syncs changes between your file system and Avail.

  • Add, rename, update, or delete — all actions are reflected instantly.

  • Stream Definitions let you filter exactly what gets indexed.

  • Improves accuracy, efficiency, and confidence in your content system.
