AVAIL Free Overview

Video tour of the Free version of AVAIL


All right, good afternoon everybody. Today we're going to spend a couple of minutes, maybe a little bit longer than usual, talking about the free version of AVAIL, how to do some basic setup, what are some of the key things to think about and then how to get some additional information after you've got it going and potentially have some follow up questions. So let's start with the highlights here and what AVAIL Free is. Basically, it's a free version of AVAIL. It doesn't have all of the functionality of some of our paid plans, but it's a great way to get started. Understand the user interface, some of the features, and functionality. If you are an ArchVision customer and it's a way to access your family detail warehouse content and in the very near term access all of your RPC, entourage content and also additional content from lab works.

So the highlights here are you can create two channels on your own that does not include those marketplace channels that I talked about from ArchVision. It also does not include the AVAIL learning channel, which is where you can find all of the little snippet videos series and just basic stuff on how to reset your password and some of the stuff that's coming out from AVAIL Learning. So you can create two of your own channels, inside of each one of those channels. You can put 1500 pieces of content in each channel, so 3000 total pieces of content. There are no restrictions on the types of content that you can put into those channels. There are no restrictions on how big those files are. AVAIL is completely file type agnostic, so think about how you might want to organize your channels if you want to have one devoted to just Revit content and another devoted to a variety of different content types, but really it's, however, you want to do it there are no restrictions there.

Another common question we get is how many people can use it? And the answer is an unlimited amount of people can use an AVAIL free plan. You can invite them to the plan through the admin panel on the website. I'll show you that later. The only restrictions are on the AVAIL user types, there is one publisher and there can be unlimited consumers and we're going to go over what that means next. Finally, the last bullet point on this slide. There is no time restriction on how long you can access a free account. Of course, we would love it if you would upgrade and purchase a paid plan at some point, but if the free plan works for you and the specific use case that you've ironed out, then you can use it indefinitely. So what does a publisher do?

There are two main user types in AVAIL a publisher and a consumer. Those users carry through into the free plans and they have almost the same set of functionality and ability, but publishers create channels, they index content, they modify the tag and filters on the content. You can set up the thumbnails and the admin panel for your content browser for Revit and I'm going to show you what that looks like. Most importantly, you can share out channels with others in the plan. You also invite other individuals into your free plan and you can also access and use the different AVAIL software. So the desktop application content browser for Revit, and also the content browser for Rhino.

Consumers, so what does everybody else do? Remember there's one publisher and as many consumers, as you want, consumers consume the content that has been curated by the publishers. So they are going to be on the receiving end of channels. They can search through that content that's been shared with them. Then they can take that content and drag and drop it out of a desktop or the content browsers into their project. And just like the publishers in AVAIL, they can have access to the desktop application content browser for Revit content browser for Rhino. So that's the basics, now let's turn our attention to the actual application itself. So I'm going to pop this open real quick. This is the AVAIL desktop application. This is the window into content, it's the primary publishing tool. It's how you organize content in AVAIL and also share that content out to people in your plan.

So you can see I've got a couple of different channels here. I've got the AVAIL Learning Channel, I've got one of the marketplace channels, RPC all access. Then I've got two channels that I set up by myself. I've got one for Revit content and then I've got one up here called all content. And this is just a variety of different content types. We see a whole lot of different content indexed inside of AVAIL over 750 unique file types. But this is some of the common stuff like JPEGs and PDFs, RFAs, SKP files, but you can see, I just set this up as to show the diversity and maybe to encourage you guys to show people inside the firm that you can use AVAIL for a lot of different things. It's not just limited to Revit.

How you get content into AVAIL is very simple. You're just going to index content off of your file system. That's just a drag and drop action into a channel in AVAIL. In this case, I have put in some, it looks like some cabinetry, so I'd probably just grab this casework folder right here off of my E drive and I just drag and drop it directly into a channel. When you do that, AVAIL picks up metadata about the files themselves and creates this great tag and filter system and allows you guys to search for this content in new and interesting ways. You can manipulate the tag and filter system as a publisher. What you're going to do is go over here to the left, hit this Tag and Filter button, and then on a per-channel basis you can edit the tags and filters that appear for each channel that you've created, right?

So here I'm displaying all active keys, but I can only decide, "Hey, I really don't want to see two active keys." So I can show just these top two. What's also great about AVAIL is you can shift the order of these keys around, so if I want the Revit category at the top and I want the keywords next, that's how you do that. And what you're doing here is you're just controlling how people arrive at the content and maybe what they're thinking about first if you want them to start at Revit, and then move down to the actual file extension, then you can do that. We've got other videos on tag and filter management. Those are going to be AVAILable inside the AVAIL Learning Channel, but understand that this is a customizable interface and allows you guys a lot of flexibility with how you're organizing content inside of the desktop application.

What else can you do that's important from the desktop, you're also going to want to share these channels and all the content in it out to other individuals. So this is actually a two-step process. I'm going to start at the second step, which is actually sharing channels inside of the application itself. But all you'll need to do is just click on one of those buttons up there at the top or over on the side, and then you can share your channels out with other individuals that are inside your plan. In just a moment, I'm actually going to show you how to invite individuals into your plan, but this is how you share those channels out to them, right? So either up here at the top or over here on the right.

Let's take a look at the content browser for Revit real quick. I want to show you guys two quick workflows. We do webinars around the free version of AVAIL, there are about 30 minutes long, so I would encourage you all to attend those. If you have follow up questions or want to see this in more detail because I'm going to kind of speed through this, but the content browser for Revit lives in the Add-in tabs. You're just going to go over there after you've installed everything and just click on the AVAIL browser here and then it's going to pop up right over here in the corner, just like the Revit properties or the Revit project browser, not properties browser, excuse me.

But right now we're operating in what's called tethered mode. So this content browser for revenue is actually talking to the desktop. And when you select content inside of the desktop application, it's going to pull forward information about that RFA inside the content browser for Revit, so you can see I'm displaying an external type catalog here. I can pull this out wide if I want to and I can see different things about this specific piece of content. But from here I can either bulk load the entire family or I can select a couple of types and I can just drag and drop those in if I want to, I can open up the family editor, so I can do a couple of different things right here out of the AVAIL content browser for Revit. But the important thing is inside of these RFAs is that you have access to those external type catalogs very quickly and efficiently and allows you to drag and drop into placement mode all in one step.

If I go over to my all content channel here and I select an RVT, I'm going to select on one of these RVT files. Show you guys a couple of key things about our RVTs in AVAIL. So again, I have selected this RVT in the desktop application here and as you can see what we're doing, and if you're not familiar with AVAIL, what we are doing is we are pulling forward all that data that's hidden inside of that RVT file. So I can search and access all the family's view sheets, schedules, I can search through this actual file and if I'm looking for specific families inside of that RVT then I can look for things like doors or windows or anything that's searchable. And then I can drill into all these types and now I can drag and drop these or load these if I want to do this directly into my current active session of Revit.

So keep in mind, I have not had to open this in Revit at all. This is sitting out on my network somewhere, but I can still access all that data that's very deep inside those RVT files. So think about anything that's stored as an RVT system families or project files, drafting views, things like that. Anything where you need to, container files, anytime you need to access content inside an RVT, using the content browser for AVAIL is a great way to get to that information quickly and efficiently.

Like I said, completely content-agnostic. If you want to use the desktop to manage other content types, potentially like SketchUp or JPEGs or things like that, all you need to do is index that content into AVAIL and then to get it out into that other application. It's a simple drag and drop, so I can take these SKP files and I can drag them into SketchUp. If I've got these JPEGs in here, I can drag this content into any other application that knows what to do with a JPEG file and knows what to do with a drag and drop, so that's across the board for AVAIL. When you're using other content types in AVAIL that don't come with a specific content browser like Revit or Rhino or potentially AutoCAD here in the near future, just remember that you can still use the AVAIL desktop to access that content.

There are other videos inside of AVAIL, snippets around what being content-agnostic really means inside of AVAIL and to leverage that. So I encourage you all to check that out. A couple of last things that we're going to look at here. So I have brought up the admin panel here. So this is accessed by going to app.getAVAIL.com/manage I can log into my account here and I can do a couple of key things. I can invite other people into my plan. I can use this big plus sign down here or I can do link sharing. This is how you actually invite your other consumers, other people inside the firm into your plan. Then I can go down to the settings tab here and I can choose a location to generate custom thumbnails inside the content browser for Revit so when you are accessing content through our VTS in the AVAIL content browser for Revit, you can generate views, thumbnails, for RFAs and drafting views, and they'll look great and you can get a preview of what those files actually are. That's vector-based.

And you can actually see what it is that you're trying to access before you bring that into your project. So very handy way, another way that AVAIL is very visual. I'm going to encourage you guys to do that. So think about setting up those custom thumbnails. Also, think about how you have your tags and filters presented inside of the channels that you have created. Is all those types of things enhance the end-user experience for your consumers. Lastly, I'll just bring up how to get in touch with us, if you have additional information. So as an AVAIL free user, you can do a lot of things, you can set up AVAIL to test some workflows and see if you like the user interface, see if you like the functionality and different things that we're doing, test some of the workflows that are enabled through the free version of AVAIL.

Understand though that there are some functionality restrictions that come with the AVAIL free plan.
